I’m the owner of the Terra Cotta Coffee Shop
Located in a small college town, we have been in business since 2003.
And to say we’ve seen some challenges would be an understatement.
But, through strategy, systems, processes, and teamwork we have continued to thrive. Even during the pandemic when so many businesses in this town went under, we remained.

Register Count Template
Print out sheets of the register count template to streamline your cash handling and drawer closeouts.
Cut the sheet in thirds. Each slip has a space to log each currency type that’s both in the cash register and in the deposit bag.

Coffee Grind Prep Tracker
Print out copies of this tracker to log how many portions of coffee grinds for pots of drip coffee are ground and prepped throughout the day. This will help you better gauge exactly how much coffee and of which ones you go through on a daily basis.
This can be used laminated and then take a photo and upload the information to a spreadsheet. Or unlaminated and keep it on file.
(Pourovers should be tracked separately, and through your Point of Sale system.)

Shift Swap Printable
Let your staff put up what shifts they need covered and see if they can find coverage on their own. Take the stress of finding workers off your plate.

Cash Handling Handout
Every employee who touches cash needs to know how to properly handle the cash when a customer hands it to them. This document should be given to every employee and signed by them to acknowledge they’ve received it.

Disciplinary Form
Sometimes you need to discipline an employee. All disciplinary actions should be documented to cover you with the labour board. This form does just that.

Downtime Cleaning
Print this off and laminate it to give your employees a handy cleaning checklist for when there’s downtime. These are things that, when done during downtime, take weight and pressure off your closers and thus reduces labour cost.

Schedule Blank
Edit this file with your own employee names and print off several so you have a blank schedule ready to go every week. When it’s time to do your schedule, make sure to hand write the date next to the day of the week so everyone knows. 😉
